Based in Shanghai, reporting to the Regional People Director based in Hong Kong, dotted line to the China Market Director and supervising one office assistant. You will have a regional remit to cover Shanghai and Taiwan in terms of HR matters, whilst having a more wider work scope locally.
Job Duties:
Human Resources
- Champion and build upon a culture that offers a safe, respectful, collaborative and motivating work environment
- Update, implement, and maintain company policies and procedures and provide advisory to employees on human resource matters
- Manage employee relationships and be the person to go to for advice or to address development issues or concerns
- Provide guidance and direction to management in the area of labour relations, reviews and resolve issues
- Drive employee engagement and retention activities in partnership with regional HR team and Talent team
- Manage and look at ways of improving employee benefits with insight from market trends and internal needs
- Maintain and update personal data system, ensure proper documentation and filing process are in placed
- Process payroll amp; benefits management via external payroll provider
- Ensure compliance with all labour law requirements
- Prepare on and off-boarding of employees, liaise with different internal parties on set-up and provide a smooth
- Prepare employment contracts, addendums and company letters
- Work with regional HR team to implement relevant training and development needs
- Partner with managers on development plans and employee’s improvement programs
Accounting:
- Liaise with accounting firm to help manage corporate accounting and tax for business
- Oversee the daily accounting tasks and where possible look at streamlining finance processes in collaboration with the
- Act as checker on all finance related work completed by the office assistant
- Manage the office’s petty cash
- Manage all office-related invoices, payments and reporting
- Assist staff expense reimbursements and payments
- APAC Finance team based in Hong Kong and the UK Group finance team
Office administration
- Organize company events, team building activities, including transportation, flights and accommodations
- Office and HR project budget planning and tracking office costs
- Act as main contact person for building management and manage vendor relations
- Supervise and mentor the office assistant to ensure a smooth running of the office
- Act as back-up support in the office assistant’s absence including covering reception area
- Any ad-hoc project as assigned
Requirements
- Ideally diploma or above in Human Resources, Accounting, Finance or administration
- 5 7 years relevant experience with at least 1 year in a supervisory role
- Experience working in a multi-cultural environment
- Approachable, trustworthy and have a strong sense of responsibility
- Strong communicator with effective listening, presentation and influencing skills
- Adaptable, quick to understand business strategy, financial environment and team dynamics
- Good team player and proactive
- Proficient in English (spoken and written) and Chinese
- Good experience in IT applications e.g. Microsoft office, Teams, Outlook, etc.
- Strong working knowledge of China labour laws (other Greater China labour laws is desirable but not a must)
