Role Summary
  • Responsibilities: You will help to support with the running of our Shanghai office, with a focus on creating a friendly and productive working environment
  • Salary: RMB 8,000 per month for 1.0 FTE, pro-rata for part-time employees (i.e. RMB 3,200 for 2d/w part-time employee). We are able to offer a higher starting salary for more experienced candidates

About the Role

Following the exciting launch of our new Shanghai office, we are recruiting for a part-time Office Administrator to support the day-to-day running of the company’s administrative functions. Alongside the rest of the team, you will uphold our standards of exceptional customer service and you will value the opportunity to support colleagues in a fast-paced and friendly environment.

The position is initially required for 16 hours (2 days) per week and the hours are flexible. You will have the option to work 2 full days a week or spread the hours across the week. There might also be scope for this to be increased to 3 or 4 days per week as the venture grows, by mutual agreement.

Key responsibilities will include:

  • Maintaining essential office supplies and IT equipment
  • Actioning established IT procedures
  • Making purchases for the office and processing expenses
  • Document management, including printing and filing documents for signature
  • Arranging domestic and international shipments
  • Processing incoming and outgoing mail, photocopying, scanning and filing
  • Ensuring that we maintain a safe, tidy and professional environment
  • Building relationships with service providers and suppliers as well as liaising with the building’s management team
  • Managing the office lease agreement and overseeing the renewal process, including sourcing for new office space
  • Maintaining the Series5000 asset management system
  • Supporting with the arrangements for international and national travel for colleagues based in the Shanghai office. This may include conducting research, purchasing tickets and preparing travel documentation such as visas, boarding passes and itineraries to ensure a smooth travel experience
  • Organising internal events such as office celebrations, social events, recruitment events, visits to our Shanghai office and coordinating onsite interviews. This can include meeting room and/or venue booking, managing registrations and arranging catering
  • Continually and proactively looking for ways we can improve our processes and reduce the administrative burden faced by our colleagues
  • Responding to personal and ad-hoc administrative tasks, as well as supporting the wider Shanghai office or global Operations team where required

  • An exceptional written and spoken fluency in Mandarin (equivalent to native Mandarin language skills) and basic business-level English
  • A dedication to providing excellent customer service
  • A friendly and approachable demeanour
  • Excellent levels of productivity, and the flexibility to respond to changing deadlines
  • Experience using Microsoft Office
  • Exceptional attention to detail and high professional standards

Experience as an Office Administrator or in a related role is highly desirable, but we are also able to accept applications from candidates looking to start their career as an Office Administrator.
